Here are the most common cases when our app may be useful for you:
💬 You want to connect one or several Whatsapp numbers and let your team manage all chats from Whatsapp in one place. This is especially useful to share the load on Whatsapp inquiries from your clients, as you may invite your teammates and exchange access to chats, write comments, and set reminders to follow up on specific messages.
👉 You want to retain a history of messaging with your clients in a structured, accessible, and eye-friendly view. Even in 5 years, you’ll be able to easily find the most important messages and files to freshen your memory or onboard new members into the communication with a long-term client.
🔗 You want to get or share reports of Whatsapp performance in your team. Sharing and reviewing chats on Timelines is much more convenient than on Whatsapp.
How to Connect Your Whatsapp Number
The process is simple and works just like on Whatsapp Web. In case you missed this step during the onboarding, or want to set the system to only sync selected chats and not everything, navigate to the Whatsapp tab and press “Connect new Whatsapp account”. Scan the QR code with the Whatsapp application on your phone, and it will connect automatically.
How to Share Whatsapp Chats With Your Teammates
You can invite your teammates in the Account Settings tab. By default, they get invited with a “Collaborator” role, so don’t forget to change the role to the “Teammate” if you want them to see all the chats. Here’s the difference:
- Teammate – can view any Chat in the Workspace, update or edit them. Can’t delete the Owner.
- Collaborator – can view only the Chats(s) they were specifically shared access to. All the other Timelines will not be visible to them. Collaborators can only update the Timelines they were invited to, and only edit the content created by them. This role is useful for work with contractors or people from other teams.
How to Tag or Share Selected Messages With The Rest of Your Team
All the chats in the workspace are visible to your teammates. But what if you want to proactively share a specific part of the chat with someone from your team?
The easiest way is to select the messages you want to give access to and press the “Share” button. You’ll get a link to a dedicated page that contains the messages and documents you selected. Anyone with the link will get access to view this page:
You may also exchange comments, but they will only be visible to the members of your team. Withdraw access at any time by deleting the page in the Sharing tab.
How To Set Comments and Reminders To Follow Up With Clients

To exchange comments with your team member, press the speech bubble button.
If you want Timelines to remind you to follow up with your clients or teammates regarding a specific message, press the bell button on the message menu and select the date and time when you wish to receive a reminder. It will come as an email with the link to a message which contains this comment.
