Is WhatsApp Integration with Pipedrive Worth It Versus Switching Between Apps?

For most sales teams, yes — and a third-party layer is usually the better route. Pipedrive's built-in WhatsApp is beta, needs a Business API number, and caps free-text replies at 24 hours. TimelinesAI connects the numbers your reps already use, with no window and no migration. Stay manual only below a handful of deals a week.

The question most teams actually face is not whether integration beats copying messages by hand. It is which integration, and whether the cheapest option covers the way they really sell.

There are three answers, not two. You can carry on switching between apps. You can use the WhatsApp integration Pipedrive ships itself. Or you can add a layer such as TimelinesAI on top. This guide compares all three on cost, constraints and fit. We make the third one, and we say so plainly — every claim about the other two is quoted from Pipedrive and Meta documentation, dated, and checkable.

The three options at a glance

Comparing them on the criteria that actually decide it:

Cost

  • Switch between apps — nothing.
  • Pipedrive native — the Growth plan and above, at $39 per seat per month on annual billing, against $14 for the entry Lite plan. Meta charges separately for conversations on the WhatsApp Business Platform.
  • TimelinesAI — $25 per seat per month for the CRM Integration plan, on top of whichever Pipedrive plan you already have.

WhatsApp account required

  • Switch between apps — any account, it is just your phone.
  • Pipedrive native — a WhatsApp Business API number.
  • TimelinesAI — any type: regular WhatsApp, the Business app, the Business API, or Coexistence.

Replying in free text

  • Switch between apps — unlimited, you are simply using WhatsApp.
  • Pipedrive native — 24 hours from the customer's last message, then approved templates only.
  • TimelinesAI — unlimited on a number connected by QR code.

Chat history

  • Switch between apps — stays on the phone.
  • Pipedrive native — begins at connection. Nothing from before is synced.
  • TimelinesAI — you connect the account you already use, so its conversations come with it.

Availability

  • Pipedrive native — a beta feature on the Growth plan and above, and not yet available to every customer.
  • TimelinesAI — generally available.

Option A: Keep switching between apps

The status quo. Reps answer customers in WhatsApp, then type what happened into Pipedrive, or more often do not.

Who it is right for: genuinely, teams doing fewer than about five WhatsApp deals a week. Below that volume the admin of any integration outweighs the return, and there is no shame in the answer being no.

Its strength: it costs nothing, sets up in no time, and adds no vendor to your stack.

It is also worth being honest about why teams stay here. It is not laziness. WhatsApp is where the customer already is, it is fast, and it works. The problem is not the channel — it is that the channel and the system of record never meet.

Its weakness: nothing is recorded. The deal record becomes a partial fiction, because the conversation that actually moved the deal is not in it.

Option B: Pipedrive's built-in WhatsApp integration

Pipedrive ships its own WhatsApp integration, and for a Pipedrive customer it is the obvious first thing to try. One vendor, one bill, no extra login.

Who it is best for: teams already on the Growth plan or above, able to dedicate a Business API number to the CRM, whose conversations are mostly inbound and answered the same day.

Its real advantage is consolidation, and it is not a small one. There is no second subscription to justify, no extra tool for a new rep to learn, no additional processor handling customer data. If your security review is strict, or your team resists adding software, that alone can decide it. Anyone comparing honestly has to weigh that against the constraints below.

What to know before choosing it. These are quoted from Pipedrive's own support documentation, as of September 2026, and are worth checking again before you commit:

  • It is a beta feature, available on the Growth plan and above, and not available to all customers yet.
  • You can link up to 50 conversations per phone number per entity.
  • A conversation can have up to three pending scheduled messages at a time.
  • Templates support a text body and an optional text header. Templates with image, video or document headers, footers or buttons are not available.
  • Conversation history in Pipedrive begins upon the initial connection. Messages sent before setting up the integration are not synced.

There is also a constraint that is not Pipedrive's doing at all. Because the integration runs on the WhatsApp Business Platform, it inherits Meta's rules. Meta's own messaging policy states that you may reply to a user message without a message template only within 24 hours of their last message, and that outside that window you may send only approved templates. Meta also charges for conversations on the platform. Any Business-API-based integration carries these, whoever builds it.

Option C: A third-party layer such as TimelinesAI

TimelinesAI sits between WhatsApp and Pipedrive as a native app in the Pipedrive Marketplace, rated 4.5 stars across 269 reviews. You connect a WhatsApp number by scanning a QR code, and conversations flow into Pipedrive as Persons, activities, Deals and files.

Who it is best for: teams whose reps already sell from their own WhatsApp numbers, teams that need conversations answered whenever the customer replies rather than within a fixed window, and teams that want the history they already have rather than a record starting today.

Connect the number you already use. No Business API registration, no migration, no de-registering an existing account. Regular WhatsApp, the WhatsApp Business app, the Business API and Coexistence all work. For a sales team whose relationships live on numbers reps have used for years, this is usually the whole decision.

Reply in your own words, at any time. On a QR-connected number there is no 24-hour ceiling and no template approval to wait for. Templates stay available for starting conversations, which is what they are actually for. Meta's service messaging rules govern the Business Platform, not this route.

Your existing conversations come with the account, rather than the record beginning the day you connect. Once the two systems are joined, every message logs as a custom activity against the right Person and Deal — the mechanics are covered in detail here.

Group chats sync too. A WhatsApp group has no contact number, so it is matched by its group ID and synced to a Pipedrive Person named after the group, with each member's messages logged as activities. If your deals run through project groups with a client and their contractors, that thread is often where the real decisions happen.

One layer, several CRMs. The same connection covers HubSpot, Zoho, monday.com and Salesforce, so the decision is not locked to Pipedrive if your stack changes.

The cost: $25 per seat per month on the CRM Integration plan, which includes the Pipedrive integration. Shared Inbox is $40 and Mass Messaging $60. Annual billing saves up to 20%.

What switching between apps actually costs

It is tempting to put a number on this, and most articles do. We will not, because any figure we invented would be worth exactly nothing to you. The real costs are not hours saved, they are these:

  • The deal record stops matching reality. The conversation that set the price, moved the date or lost the deal is on somebody's phone, not in the CRM.
  • Handover breaks. When a rep leaves, their WhatsApp history leaves with them. The next person inherits a contact record and no context.
  • You cannot report on it. WhatsApp is closing business and contributing nothing to your pipeline analytics, so the channel stays invisible in every forecast.
  • Compliance exposure. Customer conversations sit on personal devices, outside the system where your data controls live.

Which should you choose?

Work down these in order. The first yes is your answer.

Decision flow: four questions determining whether to stay manual, use Pipedrive's native WhatsApp integration, or add a third-party layer
  1. Fewer than five WhatsApp deals a week? Stay manual. Integration will not pay back yet.
  2. Do your reps use existing personal numbers? Choose a third-party layer. The native route needs those numbers de-registered from WhatsApp first, which means losing them and their history.
  3. Do you need chat history from before setup? Choose a third-party layer. Pipedrive's integration starts from zero at connection.
  4. Can you always reply within 24 hours? If not, choose a third-party layer. Meta caps free text outside that window on the Business Platform.

If all four are no, Pipedrive's own integration is the cheaper path — assuming you are already on Growth or above and can dedicate a Business API number to it.

One case is genuinely close. If you are on the Lite plan at $14 per seat and want WhatsApp in the CRM, the native route means upgrading to Growth at $39, a difference of $25 per seat. That is the same as adding TimelinesAI on top of Lite. At that point the decision is not price at all — it is whether you can live with the Business API constraints.

Frequently asked questions

Is Pipedrive's built-in WhatsApp integration free?

Not exactly. It requires the Growth plan or above, which is $39 per seat per month on annual billing against $14 for Lite, and Meta charges separately for conversations on the WhatsApp Business Platform. There is no additional Pipedrive fee for the integration itself.

Can I use my existing WhatsApp number with Pipedrive?

Not with the native integration, which needs a WhatsApp Business API number — and a number registered to the Business API can no longer be used with regular WhatsApp or the Business app. A third-party layer connects your existing number by QR code, leaving it as it is.

What is the cheapest way to get WhatsApp into Pipedrive?

If you are already on Growth or above, the native integration adds no Pipedrive cost beyond Meta's conversation charges. If you are on Lite, upgrading costs $25 per seat, the same as adding a third-party layer to your existing plan.

Can I reply to a WhatsApp message at any time, or is there a window?

On the WhatsApp Business Platform, Meta allows free-text replies only within 24 hours of the customer's last message; after that you may send approved templates only. On a QR-connected number through a third-party layer, there is no such window.

Will my old WhatsApp conversations appear in Pipedrive?

With Pipedrive's native integration, no. Its documentation states that conversation history begins at connection and earlier messages are not synced. With a third-party layer you connect the account you already use, so its history comes with it.

How do I know whether integration is worth it for my team?

Count the deals where WhatsApp carried the decisive conversation last month. Below about five a week, stay manual. Above that, the question stops being whether to integrate and becomes which account type you can live with — because that constraint, not price, is what separates the two integration routes.

Can I switch from one approach to the other later?

Yes, though not without friction. Moving from native to a third-party layer means the Business API number has to be handled deliberately, and messages logged under one method do not retroactively appear under the other. Decide the account type first, because that choice is the hardest to reverse.
