Step 1: Connect your first WhatsApp number
Open WhatsApp Accounts in TimelinesAI, generate a QR code, then open WhatsApp on the phone for that number, go to Linked devices, and scan it — the same flow as WhatsApp Web.
Why it matters: this first connection creates the profile everything else in the workspace builds on. The phone needs to stay powered on and online during setup, but does not need to stay connected afterwards for messages to keep syncing.
Step 2: Authorize Pipedrive once, for the whole workspace
Install the Pipedrive Marketplace app and authorize it with a Pipedrive admin account.
Why it matters: this step happens once per workspace, not once per number. Every WhatsApp number you connect afterwards — by any of the methods below — syncs into this same Pipedrive account automatically. There is nothing to re-authorize.
Step 3: Add a number by inviting a teammate
If a second number belongs to a real team member, invite them to the workspace and have them connect their own number the same way you connected yours — QR code, Linked devices, scan.
Why it matters: each TimelinesAI profile connects to one WhatsApp account at a time, so a second person with their own number is the most direct way to add a second line. Their messages sync into the same shared Pipedrive workspace as everyone else's.

If a number belongs to the business rather than to a specific person — a support line, a regional number, an unstaffed inbox — create a second profile in the same workspace and connect that number to it.
Why it matters: this is the route most guides skip, because it assumes every number has a dedicated person behind it. Many businesses have numbers that do not — a general enquiries line, an after-hours number, one per office location. A second profile solves exactly that, without needing to hire or reassign anyone. The two routes are not exclusive — a ten-number setup is often a mix of both: a few numbers on colleagues' own profiles, a few more on dedicated profiles nobody personally owns.
Step 5: Group numbers into Teams
If numbers belong to genuinely separate parts of the business — different departments, different regions, different clients for an agency — organise them into Teams inside the workspace rather than leaving every number in one flat list.
Why it matters: Teams are what keep a growing number of connected numbers from becoming unmanageable. A member of one Team cannot see the accounts or chats belonging to another Team unless they are a Workspace Owner or Admin — so this step is really an access-control decision as much as an organisational one.

Step 6: Set roles so people see only their own chats

- Owner / Admin — full access to every number and every setting, minus subscription control, which stays with the Owner.
- Teammate — full access to every WhatsApp account and chat that anyone else in the workspace has connected.
- Agent — access only to chats on their own connected number, or chats elsewhere where they are specifically assigned as responsible.
Why it matters: with one number this decision barely matters. With five or ten, it is the difference between a support rep seeing only their own line and seeing every conversation every colleague has ever had. Agent is very often the correct default, not Teammate.
Step 7: Confirm every number is routing into Pipedrive
Open Pipedrive and check that a message from each connected number appears as an activity on the expected Person or Deal, not just that the number shows as connected inside TimelinesAI.
Do this from the Pipedrive side, not the TimelinesAI side — open the Person or Deal the test message should have reached, and look for the activity in its history. A number showing green as "connected" inside TimelinesAI proves the WhatsApp side works. It does not prove Pipedrive received anything.
Why it matters: a number can be fully connected in TimelinesAI and still not be visible in Pipedrive if the connecting profile's role restricts what syncs, or if the workspace's Pipedrive authorization needs re-confirming. Common problems and how to fix them
The QR code expires before I finish scanning it. It refreshes after a short window. Generate a new one and scan immediately — do not navigate away from the screen first.
A number stops syncing after a few days. The phone likely went offline or WhatsApp was logged out on it. The connection depends on that phone staying reachable; reconnect it the same way you connected it the first time.
A teammate can see chats they should not. Their role is set to Teammate when it should be Agent, or they are not assigned to the right Team. Revisit Step 5 and Step 6 together — these two settings interact.
Two numbers keep merging into one Pipedrive contact. This is the phone-matching behaviour described in our Pipedrive sync guide — it usually means duplicate Person records already exist in Pipedrive, not a fault in the multi-number setup itself.
A newly added profile isn't showing up for the rest of the team. New profiles need to be invited into the workspace, not just created — a profile that exists but was never invited stays invisible to everyone else, including in Team assignments.
Some numbers sync, others don't. Check the Pipedrive authorization was granted by an admin account, and that no Team's visibility settings are quietly excluding a number from the sync.
How to verify it is working
- Connect the number and confirm its profile shows as active in TimelinesAI.
- Send a test message from that number to a contact that does not yet exist in Pipedrive.
- Confirm a new Person is created in Pipedrive from that message.
- Log in as the person meant to handle that number and confirm they can see the chat.
- Log in as someone who should not have access and confirm they cannot.
Repeat for each number as it is added, rather than testing everything only at the end — a fault caught per number takes a minute to fix; the same fault found after adding ten numbers takes much longer to trace back.
