HubSpot + WhatsApp: prompts for the Copilot

Two automations most HubSpot teams want: every new WhatsApp chat lands in HubSpot as a contact with a deal, and a chat nobody answered in an hour becomes a task for the contact owner.

How to open it

  1. In TimelinesAI on your computer, open Workflow Builder from the left menu.
  2. Click the green tab on the left edge of the builder. The Copilot chat opens.
  3. Paste a prompt from one of the pages below and send it.
  4. Connect HubSpot in Workflow Builder: Apps tab → Add a connection → HubSpot → sign in. One time only.
  5. The first time, the Copilot may ask you to connect HubSpot itself — one click, then it continues.

01New chat → contact and deal in HubSpot

In TimelinesAI, use the trigger "Incoming Chat created". Every time a new incoming chat is created in TimelinesAI, create or update a contact in HubSpot with the chat's phone number and name, then create a deal named "{contact name} (WhatsApp)" in the first stage of the default pipeline and link it to that contact. Do not launch the automation, leave it as a draft.

What to fix by hand: If the Copilot offers the action “Create new contact”, click “Show all” and pick “Create or update contact” — that is what stops duplicates.

02Nobody answered in an hour → task for the contact owner

In TimelinesAI, use the trigger "Incoming message received". When a client sends an incoming message in TimelinesAI, wait 1 hour, then check the chat history: if nobody from our team replied after that message, find the contact in HubSpot by the chat's phone number and create a task for the contact owner: "WhatsApp message unanswered for 1 hour - {contact name}". If the team already replied, do nothing. Do not launch the automation, leave it as a draft.

What to fix by hand: Add the 1-hour wait yourself: "+" under the trigger → Tool → Automation delay → 60 minutes. The Copilot cannot add waits.

Check the automation is paused before you let it run. The Copilot may start it on its own. Open it, read every step, then press start yourself. Automations send real WhatsApp messages.
